Privacy Policy

Aawaz is an AI bookkeeping service for Indian small businesses: you speak or type your day’s business on WhatsApp or in the Aawaz app, and Aawaz keeps your books and prepares your GST filings. To do that job we handle your business records and some personal data. This policy explains what we collect, why we collect it, and the rights you have under India’s Digital Personal Data Protection Act, 2023 (DPDPA).

The plain-language promise behind the legal text: we collect only what the service needs, nothing is written to your books without your confirmation, and your data stays yours — you can export it or delete it from Settings at any time.

1. What we collect

  • Account details: your name, mobile number, and the business information you share during onboarding — shop type, city, state, and approximate monthly revenue.
  • Messages and voice: the text and voice messages you send to Aawaz on WhatsApp or in the app, and the transcripts we create from your voice notes.
  • Business records: the sales, expenses, credit (udhaar), invoices, party names, and GST details (including your GSTIN) that make up your books.
  • Technical data: basic device and app information, and the logs we keep for security and troubleshooting.

2. How we use your data

  • To keep your books: record the entries you confirm and show you summaries, reports, and reminders.
  • To prepare your GST returns, and to file them when you explicitly ask us to.
  • To send you confirmations and reminders on WhatsApp — only with your consent, which you can withdraw at any time.
  • To improve how well Aawaz understands speech and extracts entries, and to keep the service secure and free of fraud and abuse.

Every entry follows one rule: it is staged, previewed to you, confirmed by you, and only then written to your books — with an audit trail that keeps the original transcript. Nothing is recorded without your yes.

3. Voice and WhatsApp

Voice notes are converted to text so Aawaz can understand them. The audio and its transcript become part of your records, and every booked entry keeps its source transcript — so you can always see exactly why an entry exists.

WhatsApp is a service of Meta. Messages you exchange with Aawaz over WhatsApp are also governed by WhatsApp’s own terms and privacy policy.

4. Who we share it with

  • Your chartered accountant — only if you grant them access, and you can revoke that access at any time.
  • The GST Network (GSTN) and related government systems — when you ask us to prepare or file a return.
  • Service providers that run our infrastructure — hosting, messaging, speech-to-text, and AI processing — under contracts that limit them to working for us.
  • Authorities, when Indian law requires it.

We never sell your personal data, and we never use your books for advertising.

5. Your rights under the DPDPA, 2023

  • Access and correction: see the data we hold about you and have mistakes corrected.
  • Export: download a complete copy of your data from Settings → Privacy in the app.
  • Erasure: delete your account and your data from Settings → Privacy. We complete deletion within the timelines the law sets.
  • Consent: WhatsApp reminders and similar messages run on consent you can withdraw at any time, in Settings or by telling Aawaz.
  • Grievance redressal: contact our grievance contact below. If you are not satisfied with our response, you may approach the Data Protection Board of India.
  • Nomination: you may nominate a person to exercise these rights on your behalf, as the DPDPA provides.

6. How long we keep data

We keep your data while your account is active. When you delete your account, we erase your personal data — except records we are required to retain under Indian law, such as tax and accounting records that must be preserved for statutory periods. Those we keep only as long as the law requires, and for no other purpose.

7. Security

Your data is encrypted in transit, access inside our systems is limited to what each component needs, and account sign-in is OTP-based — there is no login password to leak. A small number of government-portal features (such as e-Way Bill) require us to hold a portal credential on your behalf because the portal itself has no OTP option; where that is unavoidable, the credential is encrypted at rest with a dedicated key, every access is logged, and it is never returned by any part of our system. Every write to your books is auditable: you can see what was recorded, when, and from which message.

8. Children

Aawaz is a business tool for adults. It is not directed at, and must not be used by, anyone under 18.

9. Changes to this policy

If we make material changes to this policy, we will tell you in the app or on WhatsApp before they take effect. The “Effective” date above always shows the current version.
